POSITION SUMMARY:
Are you an organized and enthusiastic team member with a passion for special events? Discovery Centre is looking for you to join its team as a Special Events Assistant this summer.
Reporting to the Partnerships Manager, the Special Events Assistant will develop a plan to bring together past nominees, finalists, recipients, and current science and technology innovators for the 2022 Discovery Awards for Science & Technology 20th anniversary celebration. The Discovery Awards is Discovery Centre’s marquee fundraising event and the assistant will be a key position during this milestone year. The Special Events Assistant will be responsible for researching, contacting, and coordinating attendance to help ensure maximum engagement among both the scientific and broader communities. The Special Events Assistant may also assist with the planning of other donor events and execution of venue rental bookings throughout the employment term.
RESPONSIBILITES:
The Special Events Assistant works in the Partnerships Department and is directly responsible to the Partnerships Manager. The primary tasks of this position are:
- Develop the project task list and timeline with assistance from Discovery Awards committee members.
- Review Discovery Centre archives to develop a list of individuals, companies and other target stakeholders with appropriate contact information for each.
- Contact identified stakeholders to communicate the purpose of the event and coordinate ticket purchases.
- Track outreach activities and status of ticket purchases in software system, send confirmations, and follow-up as required.
- Communicate opportunities to support Discovery Centre’s charitable mission through donations to the event.
- Research historical library of photo and video assets which could be used to recognize the 20thanniversary of the Discovery Awards.
- Assist with the setup and execution of weekend and after-hours venue rental events.
- Prepare an end-of-project report on activities and make recommendations for future direction of the Discovery Awards.
QUALIFICATIONS & EXPERIENCE:
- Full time enrollment in a post-secondary program, preferably events, marketing, public relations or other relevant field.
- Previous special events experience or other relevant work experience.
- Ability to work well independently and as a member of a team.
- Experience working in Microsoft Office 365 including Microsoft Teams.
- Highly organized with strong verbal and written communication skills.
- Familiarity and experience in the charitable sector are preferred.
